CHURCH SECRETARY POSITION

Job title

Church Secretary (Hourly – Non-Exempt – Employee At-Will)

Reports to

Direct Supervisor – Pastor; Council through the Executive Committee

The Church Secretary demonstrates their Christian faith and unique gifts through service to the church, by fostering an environment of hospitality, assisting the pastor in his ministry, helping the ministry teams, committees, and council carry out their work, and becoming the central source of communication for the congregation.

Tasks

1.    Office (creates welcoming environment)

2.    Communication (phones & email; website; congregational correspondence)

3.    Bulletins (including Sunday, mid-week, and special occasions)

4.    Council & Committees (reports, monthly council packets, minutes of committees; annual meeting packets)

5.    Newsletter (weekly newsletter)

6.    Post Office (regular mail pickup & distribution; monthly newsletter mailouts; weekly bulletin mailouts)

7.    Supplies (maintain office and church supplies)

8.    Environment (maintains organization and tidiness of office and high use spaces, including bulletin boards)

9.    Records (updating contact information across all platforms, including membership status & envelopes)

10. Scheduling (facilitate members serving in worship; building use authorizations; working with outside organizations)

Software

1.    Word (for producing bulletins)

2.    Constant Contact and/or similar programs (for bulletin and newsletter mass emailing)

3.    Canva (for producing newsletters, invite cards, and graphical content)

4.    Website (uploading bulletins and newsletters; updating content)

5.    Excel or related program (for maintaining lists of members serving)

6.    Canva or PowerPoint (for producing announcements/slides)

7.    Servant Keeper and/or similar programs (for church database management)

Hours & Benefits

Starting Pay: Up to $20/hour

Hours

·      Monday through Thursday, 4 hours per day

·      Authorization for occasional additional hours as needed

·      Sick Leave: Four Days Paid Per Year

·      Vacation: Four Days Per Year after Six Months

Office Closed (days which fall under regular four day workweek are paid):

  • Good Friday; Memorial Day; 4th of July; Labor Day; Thanksgiving & Thanksgiving Friday
  • Christmas Eve through New Years Day

Evaluation

·      Performance & salary review after 60 days, and annually thereafter.
